What ISO 39001 asks you to write down

Each one needs an owner, an approval, and proof it reached the people it covers.

Clause 5.2

Road traffic safety policy

Top management sets an RTS policy suited to the organization's role in the road traffic system, committing to objectives, applicable requirements and continual improvement.

  • Top management approval and date
  • Communicated within the organization
  • Available to interested parties as appropriate

Clause 6.3

RTS performance factors

The organization identifies the RTS performance factors it will work on, drawn from exposure, final safety outcome and intermediate safety outcome factors within its influence.

  • Selected factors with the reason for each
  • Link to the risks and opportunities review

Clause 6.4

RTS objectives and action plans

Objectives and plans to achieve them, based on the chosen performance factors and the legal and other requirements the organization subscribes to.

  • Owner, resources and target date per objective
  • Legal and other requirements considered

Clause 7.6

Documented information

The documented information the standard requires and what the organization decides it needs, created with identification and review, then controlled for access, version and retention.

  • Version, approval and review dates
  • Distribution and access controls

Clause 9.2

Road traffic crash and incident investigation records

Procedures to record, investigate and analyze road traffic crashes and other road traffic incidents, so causes and corrective actions are identified.

  • Investigation findings and causes
  • Corrective actions with completion dates

Clauses 9.3 and 9.4

  • Management review records and decisions

Citations are to the standard or regulation; wording is ours. ISO lists ISO 39001 as under revision. Clause numbers follow the common management-system structure; confirm them against your copy.

What gets asked for on the day

What reviewers sample about these documents and the people they cover.

A completed audit and review cycle

NQA expects the system to have operated for at least three months, with a management review and a full cycle of internal audits completed, before certification.

Scope and legal requirements at stage 1

Stage 1 confirms the application information, the scope and the evaluation of legal requirements, and lists areas of concern to close before stage 2.

Effective processes at stage 2

Stage 2 tests whether the system's processes are effective in achieving their intended purpose, drawing on records such as crash investigations, objective progress and corrective actions.

Climate change in the context analysis

Since Amendment 1:2024, the organization determines whether climate change is a relevant issue for the system, and considers climate-related requirements of relevant interested parties.

The policy and acknowledgment layer for ISO 39001.

Write each policy, send it through approval, and send it to the people it covers. Each acknowledgment is recorded by name, with the version, the date and the time.

When a policy changes, the new version is approved, its Editor sends it out again, and everyone it applies to is asked again. Export the record as a PDF or CSV, or give a reviewer Viewer access to the documents their tags allow.

  • Approved before it goes outUp to four steps, with any or all approvers.
  • Acknowledged by nameName, email, date, time and version on every record.
  • Asked again on every changeEach new version goes out again to everyone it applies to.
  • The record on requestA PDF or CSV export, or Viewer access to the documents their tags allow.

Questions

What does Amendment 1:2024 change?

It adds a requirement to determine whether climate change is a relevant issue, with a note that relevant interested parties can have climate-related requirements. ISO and IAF introduced the same change across management system standards in February 2024.

Is ISO 39001 being revised?

ISO lists the 2012 edition as to be revised and shows ISO/AWI 39001 under development as its replacement. Certification continues against ISO 39001:2012 with Amendment 1 until a new edition and its transition arrangements are published.

How long is a certificate valid?

Three years, with surveillance audits in years one and two and a recertification audit in year three. LRQA and NQA describe the same cycle.

Does ISO 39001 integrate with other management system standards?

NQA notes that ISO 39001:2012 follows the Annex SL common structure, which makes it compatible with ISO 9001 and ISO 14001. Shared clauses such as policy, documented information, internal audit and management review can run as one system.
